💵 Cash desks, bank accounts and money movements

Updated

Where the company's money sits and the documents that move it without a customer or a supplier on the other side: an expense paid by article, other income, and a transfer between its own desks and accounts — including a currency exchange. Payments of customers and suppliers are on their own pages and use the same desks and accounts.

What is where#

Object What it is Register
CashDesk (Cash desk) A cash box: name, currency, ledger account code CashBalance (by desk)
BankAccount (Bank account) A current account of a legal entity: number, currency, ledger account code BankBalance (by account)
CashExpense (Cash expense) Money out by cost article — wages paid in cash, fuel, taxes −desk or −account; Dr the article's expense account
CashIncome (Other income) Money in that is not a customer payment +desk or +account; Cr the income account
MoneyTransfer (Money transfer) From one own desk/account to another: cash into the bank, bank to bank, desk to desk, currency exchange −source, +target

A document takes exactly one desk or one account on each side; the post command refuses both or neither.

Settings#

Setting Where Values Default Effect
Ledger account of a desk / account CashDesk.AccountCode, BankAccount.AccountCode a postable account of the chart empty The book debits/credits this account. Empty — the cash account of the accounting settings
Currency of a desk / account CashDesk.Currency, BankAccount.Currency a currency — A document must be in this currency on the source side
FX gain / loss accounts Accounting settings, FxGainAccountCode / FxLossAccountCode accounts empty Where the difference of a currency exchange goes. Empty — the difference is not posted
Other income account Accounting settings, Other income account (OtherIncomeAccount, stamps OtherIncomeAccountCode) a postable income account empty An Other income document without its own income account posts to this one (the code is written into the document on posting). Empty — such a document must name its account, otherwise posting refuses

Example: the settings name account 719 Other income. A cash receipt of 30 with an empty income account posts as Dr cash 30 / Cr 719 30, and the document now shows 719. With an empty setting the same receipt stays a draft with «Specify the income account».

Money transfer and currency exchange#

MoneyTransfer fields: Legal entity, Currency (of the source), the source and target desk/account, Amount (taken from the source), Exchange rate (source currency → functional), and for an exchange Amount received (ToAmount) and Target exchange rate (ToExchangeRate).

Case What is required Registers Books
Both sides in the document currency Amount source −Amount, target +Amount Dr target / Cr source, Amount × rate
Target in another currency (exchange) Amount, Amount received; target rate when the target currency is not the functional one source −Amount, target +Amount received Dr target / Cr source on the smaller side; the gap to FX gain (target worth more) or FX loss

Example, functional currency UAH: from Cash UAH 31 535 to Cash USD 700 at 45.05.

Value
Cash UAH (CashBalance) −31 535 UAH
Cash USD (CashBalance) +700 USD
Leaves, functional 31 535 × 1 = 31 535
Arrives, functional 700 × 45.20 (rate of the day) = 31 640
Books Dr Cash USD 31 535 / Cr Cash UAH 31 535; Dr Cash USD 105 / Cr FX gain 105

On the same transfer between desks of one currency the amount received is cleared on posting — it means nothing there.

Boundaries#

  • Desks/accounts that share one ledger account (two desks of one cashier) move only the registers; there is nothing to post in the book.
  • A disabled desk or account, a closed fiscal period, a missing ledger account refuse posting with a message; balances stay untouched.
  • The legal entity of the transfer is one; 1C's inter-company cash transfer has no counterpart (none was used in 2025–2026).

What's not there yet#

  • The Ukrainian package pulls bank statements; it does not create payment documents from those rows.
  • There is no cash-flow article on a payment. Operation kind is the only split.
