Run payroll
Updated
An approved time sheet stores hours. Accrue payroll posts the pay. Pay payroll is a separate document and pays the amount still owed after the employee contribution is withheld.
Note
The time sheet writes no payroll. The accrual card has no pay button. Paying the employee is Pay payroll. Paying the fund is a further document — Post and pay social insurance. A payment that writes the ledger credits Cash account; it is not a bank statement.
How to#
To run payroll, open Ribbon → HR → Documents → Time sheets. Open an Approved sheet. Lines shows Employee and Hours.
Time sheet list: number 576, date 2026-02-11, state Approved. The product is in English.
Approved time sheet 576: division Empiro Foods Distribution, period 01/02/2026 to 07/02/2026, and 40 hours for Halyna Symonenko on Lines. Accrue payroll is on the card. The product is in English.
If the sheet is still Draft, fill and approve it first — Fill a timesheet. Save after you change Hours, or Accrue payroll reads the last saved lines.
Then press Accrue payroll. The command creates a posted payroll accrual. When a contribution is not zero, it also creates a posted social-insurance accrual. The time sheet stays Approved.
The state on the card does not post the pay. Only Accrue payroll does.
Open Ribbon → HR → Registers → Payroll liabilities. Tick Employee and press Build. The layout Payroll liability by employee shows Amount. That amount is what is still owed after employee contributions are withheld.
Payroll liabilities grouped by employee: Halyna Symonenko has an amount closing balance and a withheld closing balance. The product is in English.
To pay the employee, open Ribbon → HR → Documents → Payroll payments. Press New. On Payment lines, enter Employee and Amount. Amount is the Amount still owed on the liability. Save. The card stays Draft, and the liability stays as it is. Press Pay payroll. The state becomes Paid. A debt of 100 paid with 100 leaves 0.
The state on the payment does not pay the employee. Only Pay payroll does.
When a contribution accrual exists, pay the fund on Post and pay social insurance. Paying the fund leaves the employee liability at the net.
To undo, void in this order. Voided is final. When employees were already paid, open the payroll payment and press Void payroll payment. When the fund was already paid, open the social-insurance payment and press Void social insurance payment. Then open the payroll accrual and press Void payroll accrual. A linked posted social-insurance accrual is voided first. Accrue payroll is then available on that time sheet again.
Example
Two people on an approved time sheet: 10 hours at 50 and 8 hours at 25. Accrue payroll posts 10 × 50 + 8 × 25 = 700.
A later local gross of 10,000 withholds the employee share at 9.75%: 10,000 × 0.0975 = 975. Net Amount is 9,025. With no HR settings record, the same 10,000 stays 10,000 and no social-insurance accrual is created.
Gross Withheld Amount Before the contribution 10,000 0 10,000 After 10,000 × 0.0975 10,000 975 9,025
Tip
A Monthly salary above 0 on Ribbon → HR → Dictionaries → Positions pays that salary for a full standard period; fewer hours pay a share. Empty or zero Monthly salary pays Hours times Hourly rate. Rates on Ribbon → HR → Settings → HR settings are fractions: 0.0975 is 9.75%. Fill standard week and Accrue payroll do not read Active on the employee. Personal income tax and a military levy are a country package; Ukraine withholds them on Withheld.
If the command refuses#
| What you see | What to do |
|---|---|
| The command says payroll is already accrued on this time sheet | Open the linked accrual. Void payroll accrual before Accrue payroll again. |
| The command says there is nothing to accrue: no employee has a position with a rate | Fill Position on the employee. On the position, fill Monthly salary or Hourly rate so the amount is above 0. |
| The command says some rows were posted and some were skipped | Some employees were posted and some were skipped. The skipped rows have no position, or the amount came out 0. |
| The command says the accrual is empty: add lines | Add a line on Accrual lines before Post payroll accrual. |
| The command says the payment is empty: add lines | Add a line on Payment lines. The card stays Draft. |
| The command says the payment is above the accrued amount: 150 paid, 100 accrued | The Amount is above the employee's payroll liability. A debt of 100 refuses 150. Lower Amount, or post the missing accrual, then Save and Pay payroll. |
| The command says the accrual cannot be voided: the debt is already paid | Void payroll payment first. Then Void payroll accrual. |
| The command says the contributions cannot be voided: they are already paid to the fund | Void social insurance payment first. Then void the accrual. |
| The liability is still the gross | No contribution was withheld. With the rates above and no other withholding, a gross of 10,000 leaves Amount 9,025. With no HR settings, it stays 10,000. |
| You expected a fund payment to raise the employee liability | The employee liability stays at the net. Paying the fund clears the fund balance. |
