Offset a debt

Updated

Clear what a customer owes against what you owe the same party as a supplier, in one currency, without moving cash.

Note

This document does not take cash and does not move stock. Draft does not post. Customer debt is written by a Released sales realization, not by this card. Receiving from a customer is Receive a payment. Paying a supplier is Pay a vendor.

How to#

To offset a debt, open Ribbon → Settlements → Documents → Debt offsets.

Press New. Fill Legal entity, Customer, Supplier, and Sales contract. The customer and the supplier are two records: pick both for the same party. Fill Amount. Supplier contract, Receivable basis, and Payable basis can stay empty. Save. The card receives a Number and stays Draft. What the customer owes and what you owe the supplier stay as they were.

Then press Offset debt. The state becomes Offset. Both debts fall by Amount. Stock stays as it was. The card is read-only.

The state on the card does not move the document. Only Offset debt does. Until you press it, the document stays Draft, however many times you save.

Example

The same party is a customer and a supplier. They owe you 1,000. You owe them 600. Put Amount 600 — the smaller of the two.

After Offset debt, customer debt falls by 600: 1,000 − 600 = 400. Supplier debt falls by 600: 600 − 600 = 0. A Draft leaves both debts unchanged.

Before Offset debt After Offset debt
Customer owes 1,000 400
You owe the supplier 600 0

Tip

The sales contract and the supplier must bill in the legal entity's currency. Empty Receivable basis checks the whole customer-and-contract balance. Empty Payable basis checks the whole supplier balance. The amount may not exceed either open side.
