Create a cost article

Updated

Create a cost article when a payment has no supplier: wages, fuel, taxes. Cash expense lines name this card as what the money was spent on.

Note

Save on the cost article does not post cash. Cash moves only when you post a cash expense or another money document — Record a bank payment.

How to#

To create a cost article, open Ribbon → Accounting → Dictionaries → Cost articles. The list is a tree: an article's Parent is another article.

Press New. Fill Name. Code and Expense account can stay empty. Pick Parent when this article hangs under a group; leave Parent empty for a top-level article. Leave Disabled off. Save. The card receives an ID and the row appears in Cost articles. Cash stays as it is.

Empty Expense account walks Parent until a code is found. Fill Expense account on the group when several articles share one ledger code. Fill it on this article when it should post to its own leaf. Type the ledger code; it is not a picker. Tick Disabled later when you no longer spend against this article: the card stays for history.

Then open Ribbon → Accounting → Documents → Cash expenses. On Lines, pick this article in Cost article. Until you press Post cash expense, the cash or bank balance stays as it was.

Example

  • Name Fuel and fleet
  • Expense account 5500
  • Parent empty

Save. Then New again:

  • Name Diesel
  • Parent Fuel and fleet
  • Expense account empty

Save. Diesel inherits 5500. Cash is still unchanged. A later cash expense line of 30 on Diesel, posted, debits 5500.

Tip

Code is not required to save. Put Expense account on the group so children can stay empty. An article with no code of its own and no code on any Parent still saves, but posting the cash expense is refused.

If the command refuses#

What you see What to do
Fill the required fields: Name Fill Name.
The cost article has no account: set it on the article or on its group. Fill Expense account on this article or on a Parent above it. Then press Post cash expense again.
You expected cash to move after Save Cash moves on the cash expense, not on this card — Record a bank payment.
