Return goods and notes

Updated

Use a sales return when goods come back after a released sale. The original sales realization stays Released.

Note

A goods return puts stock back and reduces the net debt. It does not reverse VAT. A credit note reverses the tax and does not move stock. A debit note adds tax and does not move stock. None of the three changes the invoice. There is no wizard that creates the return and the credit note together.

How to#

To return goods, open Ribbon → Sales → Documents → Sales returns.

Sales return list Sales return list: posted returns and drafts are separate from sales realizations. The product is in English.

Press Create. Fill Customer, Return location, Outlet, Contract, and the returned lines. Fill Original invoice when you know it. Then press Post sales return. The state becomes Posted. Stock increases and the net debt decreases. The invoice does not change.

Posted sales return card Posted sales return: customer, return location, original invoice, contract, and the returned lines. The state on screen is Posted.

To reverse VAT, open Ribbon → Sales → Documents → Sales credit notes. Fill Customer, Outlet, Contract, Original invoice, and the lines. Press Post sales credit note. Tax debt decreases. Stock does not change.

Posted sales credit note card Posted sales credit note: customer, original invoice, contract, tax rate, and the note lines.

To charge extra VAT, open Ribbon → Sales → Documents → Sales debit notes. Fill Original invoice and the lines. Press Post sales debit note. Tax debt increases. Stock does not change.

The state on the card does not move the return. Only Post sales return does. Until you press it, the document stays Draft. A physical return and a VAT credit are two postings. The system does not create one from the other.

Credit-note lines can be copied from the original invoice. Debit-note lines are an extra charge and are not copied.

Example

You sold 10 pieces at 100 each, VAT 15%. Goods 1,000 plus tax 150: the customer owes 1,150. Ten pieces are out of stock.

Return 2 pieces. Stock comes back. The goods debt falls by 200. VAT does not move — a return is not a credit note. The 30 of tax on those two is 2 × 100 × 15%; post a credit note as well when the tax must follow the goods home.

After the sale Return 2 pieces Credit note on those 2 Return and credit note
Pieces still out 10 8 10 8
Goods 1,000 800 1,000 800
VAT 150 150 120 120
Customer owes 1,150 950 1,120 920

A debit note for 1 extra piece at 100 adds tax 15. The customer then owes 1,165. Stock still does not move.

Tip

The return uses the tax setup of the sales realization. With no tax configured, the return posts stock, revenue, and net debt, and a note whose applied rate is zero does not change tax. Return location must be a receiving cell when store discipline is on. There is no return-reason field and no approval button on this card.
