Record a bank payment

Updated

Record money leaving a bank account (or a cash desk) by cost article — wages paid in cash, fuel, taxes — when there is no supplier on the other side.

Note

This document does not settle a supplier or a customer. Paying a supplier is Pay a vendor. Receiving from a customer is Receive a payment. Those lists use the same Bank account and Cash desk.

How to#

To record a bank payment, open Ribbon → Accounting → Documents → Cash expenses.

Press New. Fill Legal entity and Currency. Pick Bank account. Leave Cash desk empty. Paid to and Description can stay empty.

On Lines, add Cost article and Amount. Save. The card receives a Number and stays Draft. The bank balance stays as it was.

Then press Post cash expense. The state becomes Posted. The bank balance falls by the line amounts. The card is read-only.

The state on the card does not post the payment. Only Post cash expense does. Until you press it, the document stays Draft, however many times you save.

Example

You pay 30 from the bank for a cost article. There is no supplier on the other side.

  • Bank account filled
  • Cash desk empty
  • Cost article a live article
  • Amount 30

Post cash expense. The bank balance falls by 30. The article's expense account is debited 30. The bank account's ledger account is credited 30, or Cash account from accounting settings when the account has none.

Tip

Fill Cash desk or Bank account, not both. To move money from a desk into a bank account, open Ribbon → Accounting → Documents → Money transfers and press Post transfer. Other money in that is not a customer payment is Ribbon → Accounting → Documents → Other income. Bank accounts are Ribbon → Accounting → Dictionaries → Bank accounts. Cash desks are Ribbon → Accounting → Dictionaries → Cash desks. Cost articles are Ribbon → Accounting → Dictionaries → Cost articles.
