Set payment terms
Updated
Create a payment term, then pick it on an invoice or a purchase order. Due date is the document date plus the term's Days.
Note
A payment term writes no debt and no ledger. Due date is only when the collector expects the money. The sales realization writes receivable on Released; the purchase order writes payable on Received.
How to#
To set a term, open Ribbon → Common → Dictionaries → Payment terms.
Press New. Fill Name and Days, Save. Days is a number of calendar days, not a date. Empty or 0 means pay on the document date.
Then open the document. On a sales realization (Ribbon → Sales → Documents → Sales realizations), pick Payment term, Save. Due date fills as document date plus those days. On a purchase order (Ribbon → Purchasing → Documents → Purchase orders), the same fields work the same way. While the document is still editable, every save recalculates Due date.
A filled Payment term on the document wins over Default payment term. A contract can replace the customer's own term when the invoice or order takes that contract.
Example
Invoice dated 1 September. Payment term Net 14 has Days 14. Due date is 1 September plus 14 days: 15 September.
Same date, Payment term Cash has Days 0. Due date is the document date: 1 September.
Invoice term empty, Sales Default payment term Net 7: 1 September plus 7 days is 8 September.
Term Days Due date Net 14 14 15 September Cash 0 1 September Default Net 7 7 8 September
Tip
To use that term when a document has none, open Ribbon → Sales → Settings → Sales settings and pick Default payment term. For purchases, open Ribbon → Purchasing → Settings → Purchasing settings and pick the same field. A sales order has no Due date. It uses Delivery date. Open the sales realization after it is created.
If the command refuses#
| What you see | What to do |
|---|---|
| Due date is the same as the document date | The selected term has 0 days, or no term was found. Pick another Payment term, or set Default payment term on Sales or Purchasing settings. |
| The sales order has no due date | Sales orders use Delivery date. Open the sales realization. |
| Due date no longer changes | The document is locked, for example a Released invoice. Correct Payment term before release, or create a correction document. |
