Reconcile with a counterparty

Updated

Draw up a reconciliation act: the opening balance with a customer or a supplier, every document of the period that moved the debt, and the closing balance. Send it to the counterparty; when it is signed, agree it.

Note

The act posts nothing. It reads the debts that realizations, payments, receipts and debt documents have already written. A wrong figure in the act is a wrong or missing document, not something to fix in the act.

How to#

To draw up an act, open Ribbon → Settlements → Documents → Reconciliation acts.

Press New. Fill Legal entity. Fill Customer, Supplier, or both, when the company both buys from you and sells to you. Sales contract and Supplier contract can stay empty: then every contract with this legal entity is in the act. Fill Period from and Period to. Save.

Press Fill. The lines appear: one line per document and date, with Debit or Credit. Opening balance and Closing balance are filled. A positive balance means the counterparty owes you; a negative one means you owe it.

When documents of the period were added later, press Fill again. The lines are replaced, not doubled.

To send the act, press Print and pick Reconciliation of mutual settlements (Акт звірки взаєморозрахунків), the Ukrainian paper.

When the counterparty has signed the act, press Agree and confirm. The state becomes Agreed and the card is read-only.

Example

The customer owed 1,000 at the end of 2024. In 2025 it got goods for 500 and delivered paint to you for 300. Act for 2025 with Customer and Supplier: Opening balance 1,000, a debit line 500, a credit line 300, Closing balance 1,200.

Tip

Period to is inclusive: documents of that day are in the act.
