Write off a debt

Updated

Drop what a customer still owes, or what you still owe a supplier, without paying cash. A reason is required.

Note

This document does not take cash and does not clear the other side. Draft does not post. Customer debt is written by a Released sales realization, not by this card. Clearing a customer against the same party as a supplier is Offset a debt. Paying cash is Receive a payment or Pay a vendor.

How to#

To write off a debt, open Ribbon → Settlements → Documents → Debt write-offs.

Press New. Fill Legal entity. Set Side to Receivable or Payable. For Receivable, fill Customer and Sales contract. For Payable, fill Supplier. Fill Amount. Fill Reason. Save. The card receives a Number and stays Draft. The open debt stays as it was.

Then press Write off debt. The state becomes Written off. That side falls by Amount. The other side stays as it was. The card is read-only.

The state on the card does not move the document. Only Write off debt does. Until you press it, the document stays Draft, however many times you save.

Example

A customer owes 1,000. You drop 300 because they are bankrupt. After the write-off they owe 1,000 − 300 = 700. A supplier you owe 600 is unchanged.

  • Side Receivable
  • Amount 300
  • Reason Bankrupt debtor

Write off debt. A Draft leaves the 1,000 in place.

Before write-off After write-off
Customer owes 1,000 700
You owe the supplier 600 600

Tip

Reason is required even though the field can look empty until you press the button. The contract or supplier must bill in the legal entity's currency. Empty Receivable basis or Payable basis checks the whole open side; a filled basis may not exceed that slice.
