Qualify a lead
Updated
Use a lead when someone is interested and you do not have a priced offer yet. Qualify lead marks the interest. Create quotation creates one draft quotation.
Note
The lead writes no stock, debt, or tax. It creates no order and no customer record. Create quotation creates one draft quotation; a second press opens that same quotation.
How to#
To qualify a lead, open Ribbon → CRM → Documents → Sales leads.
Press Create. Fill Subject. Save. The card stays New and receives a Number. Customer, Outlet, Contract, Ship-from location, Delivery date, Phone, Email, Source, Agent, Contact, and Notes can wait.
Then press Qualify lead. The state becomes Qualified. No quotation is created.
Fill Customer, Contract, Ship-from location, and a Delivery date in 1902 or later. Save. Then press Create quotation. The lead becomes Quoted, and one sales quotation is created in Draft with 0 lines. Open it from CRM → Documents → Sales quotations.
Saving fills an empty party field when one record fits. An Outlet fills an empty Customer, and fills Contact from the outlet's contact. One contract in force fills Contract. A contract that covers one outlet fills Outlet. Two contracts in force leave Contract empty. Outlet, Contract, and Contact are filtered by the Customer on the card.
Create quotation copies Customer, Contract, Ship-from location, and Delivery date onto the new quotation, and stores this lead in Source lead. Outlet, Contact, Agent, and Notes are copied when they are filled.
To close the interest without a quotation, press Mark lost on a New or Qualified lead and confirm. The state becomes Lost.
The state on the card does not move the lead. Only the command buttons do. Until you press Qualify lead, the lead stays New. Quoted and Lost are read-only.
The Sales lead print form shows Number, the document date, Subject, Customer, Outlet, Agent, Phone and Email, and Notes. It shows no amounts. The contact line on the form is Phone and Email, not the Contact person. It does not show the contract, the ship-from location, or the Contact person.
Example
You save a lead with Subject only. No quotation exists yet.
After Create quotation: one sales quotation is created in Draft with 0 lines. Stock at the ship-from location does not move.
Before After Create quotation Quotations 0 1, 0 lines Stock unchanged unchanged
Tip
An empty Delivery date is stored as 1 January 1900, and Create quotation does not accept it. With no delivery date, a contract check uses today. Create quotation is not on the card while the lead is still New. Mark lost is not on a Quoted lead. There is no lead setting. Loyalty enabled on CRM → Settings → CRM settings does not change the lead.
